All Committee Meeting Minutes

Chris MacDonald welcomed everyone to the All Committee Meeting.  Each member of the St. Genevieve’s Administrative Council, Parish Council, Liturgy, Faith Formation, Social Justice, CCW, Youth, Parish and Community Activities, and Communications, Music, Committees’, who were present, introduced themselves.

 

The opening prayer was read by Jim MacDonald.  The Gospel was read by Sonya Murray.  The gospel discussion was lead by Father Tom Fitzgerald.

 

Presentation - PCC

 

Building Process

  • Chris walked through the process of building our Parish Community Center.  Meetings began in 2003, moved forward to 2004 when the archdiocese approved.  In 2005 bids were accepted and alternative plans added.  The building started and continued on, finishing in 2006.  We are in the process of writing SOP’s (Standard Operating Procedures).  We do still have a Do List.  The SOP’s are a work in progress.  The SOP’s are done for the kitchen.  We walked through the overall kitchen use SOP to give everyone an idea.  The SOP for Security is in draft form.  We passed out a St. Genevieve’s PCC Interim Usage Requirements Agreement which is an interim and a work in progress document.  There is an official book that handles all of the events on a calendar in the office, when looking to book an event.  There was some discussion on why not charge for the use of the building.  A suggestion was made to have 2 easels in the PCC for use.  A suggestion for the work in progress was made to have a person (representative) at the PCC to monitor, when the building is being used for events.
    • Action item for Administrative Council to revisit the cost of use and event coordinator.

(Mike Hadel suggested we pay someone to watch over the music equipment, etc., while the building is being used.)

  • It was decided to change the insurance on the PCC Usage Agreement to be the same dollar amount on the front as on the back.  Explain “Special Event Insurance” in this portion of Insurance and Damage Deposit.
  • Father Tom reviewed the ‘draft’ of the Security SOP, the opening and closing of the building.
  • The financials for the PCC were shared.
  • The next phase of fund raising is coming and we have to do it!

 

Open Forum

 

  • Mary Lou Wilharber gave us an update on what the committee’s do.
  • We have started a website as a new communication tool, www.stgens.org. 
  • We need people to support our ministries.  We are looking for a youth ministry.
  • Andy Melcher suggested we have a set of job descriptions to get people to help volunteer.
  • Mary Capra suggested we publish in the bulletin each month a highlight from a Committee Group showcasing each ministry.
  • Jim MacDonald reminded us we do have a Mission Statement, and a document of definitions of each Committee.  He would be willing to send out and have each Committee update, review, etc.  Stewardship would be a great place to start!
  • Dan Kirchoffner volunteered to be “keeper” of our building without pay!
  • Sonya Murray reminded everyone that all women in the parish are members of the CCW.
  • Mary Capra – Activities, one new event tentative date is March 24th, 2007, is a Horticulture Event.
  • Social Justice Committee passed around the Anoka County Resource Guide which is a 109 page listing of contacts of where to go to get help. It can also be located online at; www.accap.org.  A suggestion was made to add this link to our website. 
  • If anyone is available to help serve for a luncheon this Thursday for Jim Hunt who passed away on Thanksgiving, please see Dan / Diane Kirchoffner or Donna Lund.
