Administrative Council Meeting Minutes

March 27, 2007

 

 

Present:          Susie Anderson, John Berg, Father Tom Fitzgerald, Tom Huppert,

Chris MacDonald, Sonya Murray, Tom Wilharber.

 

Absent:           Mike Fix, Dick Miske

 

Old Business

 

Tom Huppert made a motion to approve the 2/27/07 Minutes, this was second by John Berg.

 

Cornerstone Campaign

   Summary of March 13, 2007 Special Meeting – Chris

  • Timing – Sonya Murray provided a calendar to us with timing.
  • Home Visits – Last campaign about 200 home visits.  Once home visits were completed, then pledges were completed, some didn’t pledge, some pledged and couldn’t come through with it.
  • 8 volunteers signed up to assist this Campaign

   We had a discussion around how to approach Campaign #2.  One suggestion was everyone contribute 2-5 people.  Tom Huppert recommended a letter, outlining progress, etc, to mail to those former givers/supporters.  The first mailing on April 26th, and discussion around segregating the letters with different options.  It was decided we should put together a 1 page Case Statement, also include a Finance Compilation Statement.  Something to document this is the first time we ever have been out to solicit campaign funds to build anything.  Everything up to this point has been managed by the Finance Committee and our #1 goal is to pay this off.  Perhaps we should have an advance mailing approximately 1 week before to Leadership and Pledge fulfillers.  It was agreed upon we include 2 sheets; 1 Financial and 1 Gift, Case Statement, including a scripture passage.  A return envelope, pledge cards, for option if they would like a home visit.  Before our visits, Carol Fix will process the Pledge Cards.  Father Tom will look into home visits further for timing into May.

  • Next Meeting for Cornerstone Campaign Team is April 9th, 2007, at 7:00pm at the Rectory.

 

 

Building Project Updates

  • Outstanding PCC Issues Update –
    • Water leaks above doors between great hall and gathering room - Kraus Anderson is looking into
    • Kelleher concrete to fix heave in North sidewalk in Spring - Ongoing
    • “As Built” plans from Kraus Anderson - working on
    • Weir relocation – Centerville reimbursement - City will talk with Father on issues

 

Building and Grounds

  • Blinds for the PCC $2000.00 will come out of the Building Fund.
  • Bring any expenses to Father Tom, he will bring to the Administrative Council.
  • City of Centerville Request for PCC Easement – overhead power lines – hold until next time

 

Finance

  • Scheduling of the external review of St. Genevieve’s financial records.

 

Personnel

  • Lisa M. is leaving her Faith Formation position, she will finish this year off through April.  John Berg and Sonya Murray have volunteered to represent the Administrative Council in searching for her replacement.

 

 

New Business

 

  • Parking for Bus Riders, yellow tape.  Bob put it up, this is already done.
  • Make sure plow is deep enough.
  • Lawn care costs are going to go up.
  • Weir, need a fence to be put up for safety of path.  Tom Wilharber offered to put up chain link fence if church is willing to pay for it.  John Berg offered to assist Tom.
  • Drainage put some rift raft so it doesn’t wash away.

 

The next meeting will be Tuesday, April 24th, 2007, at 7:00pm, at the Rectory.

 

Mike Fix will lead the opening Gospel reading and discussion as well as the closing prayer.

 

The Meeting adjourned at 8:20pm.
